The Renewable Energy Unit has an immediate opening for an Administrative Assistant. This position uses considerable judgment and initiative in providing various administrative support services to the Renewable Energy team. Anticipates, captures, and analyzes basic information for inclusion in reports, presentations and various other documents. Should be a diligent person who is very well organized and possesses excellent interpersonal and communication skills. The candidate should be dynamic, proactive, and have a “can-do” demeanor.

Responsibilities

  • Support the team in preparing, developing, and formatting proposal presentations, stewardships, customer service plans, letters, and all inherent clerical tasks.
  • Capture information (data) from various internal systems to facilitate the account renewal process for the account team.
  • Ensure client requests are handled in the absence of the team.
  • Arrange and coordinate in-person and remote meetings.
  • Assist in maintaining and updating calendars, employing a high degree of professional judgment with respect to prioritization, location, travel time, preparation, materials, and logistics.
  • Reserve meeting location(s), confirm and follow up on technology needs, make travel arrangements, catering, reservations, and security notifications as needed.
  • Capture and act on expense reports as appropriate when received with required approvals.
  • Assist and back-up other administrative assistants when needed.
  • Implement a spirit of collegiality, teamwork, and responsiveness to broader staff.

  • Excellent MS Office (Word, Excel, PowerPoint) skills!
  • Excellent multi-tasking skills.
  • Strong work ethic and ability to thrive in fast-paced environment.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills; excited to partner and provide support to colleagues.
  • Strong written grammar in English. Business writing and editing skills are a strong plus.
  • Advanced Word, Excel, PowerPoint, and MSTeams knowledge.
  • Organized, meticulous, self-sufficient, and proactive. Independent, but able to work in a team environment.

Experience

  • 3+ years of related work experience is required!
