Chicago Operations is seeking an Executive Administrative Assistant to join our team and support our operations manager.  If you thrive in a fast-paced environment, have excellent organizational skills, and value confidentiality, this role is perfect for you!

Responsibilities

1. Positive Attitude:

  • Maintain a professional demeanor even in stressful situations.
  • Be approachable and easy to work with for all levels of the organization.

2. Strong Organizational Skills:

  • Keep track of the executive’s multiple tasks, schedules, deadlines, and global travel.
  • Proficiently organize and prepare repetitive meetings, events, and reports to ensure quality and timeliness.
  • Must be able to anticipate the executive’s needs, related travel, schedules, and unexpected issues.

3. Excellent Communication Skills:

  • Effectively communicate with the executive, managers, colleagues, and clients.
  • Write clear and concise emails, take accurate meeting notes, and communicate professionally in person and over the phone.

4. Attention to Detail:

  • Be detail-oriented and meticulous.
  • Proactively identify errors before they become problems.
  • Ensure accuracy in the final product on both content, spelling and punctuation. 

5. Problem-Solving Skills:

  • Think critically and come up with creative solutions to problems.
  • Be resourceful and find answers quickly.

6. Confidentiality:

  • Handle sensitive information with utmost discretion.
  • Maintain confidentiality for the executive, department, and organization.

7. Flexibility:

  • Adapt to changing circumstances and handle unexpected or stressful situations effectively.

8. Technical Skills:

  • Proficiency in Microsoft Outlook, Excel, Word, PowerPoint, Teams, and other office productivity technologies.


 



Qualifications

  • High School diploma or equivalent. College degree preferred!
  • Eight plus (8+) years of administrative/executive secretarial experience supporting senior-level management.
  • Detailed knowledge of Microsoft Outlook, Excel, Word, Teams, and PowerPoint.
  • Excellent interpersonal, written, and verbal communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Strong problem-solving skills with attention to detail and accuracy.
