Responsibilities

  • Serve as the primary engineering assistant, managing administrative tasks including maintaining files and records, routing incoming mail, arranging travel, coordinating meetings, running recurring reports, and handling other assigned projects. Utilize office applications to prepare information, charts, graphs, or tables for reports and presentations.
  • Support Account Engineers (AEs) by absorbing administrative duties, fostering relationships with AEs, Group Managers of Account Engineering (GMAEs), Operations Engineering Manager (OEM), clients, and brokers. Responsible for processing/transactional AE functions and maintaining AE data without interpreting or assisting in its usage.
  • Responsibilities include entering and reconciling information in various FM systems for underwriting and engineering decisions, requesting location engineering inspections, tracking risk improvement recommendations, and issuing risk reports. Deliver outstanding service to clients and brokers in coordination with Account Engineers and team members.
  • Ensure timely delivery of engineering services and products to clients at new and existing locations, including indexing locations, scheduling visits, and transmitting reports using appropriate document distribution methods.
  • Support AE risk improvement efforts by tracking recommendations for completion, inputting follow-up responses from clients and field engineering into the Portal and Risk Console.
  • Assist the engineering management team and AEs by compiling reports and information for presentations, generating company reports, and gathering data for internal meetings and account reviews.
  • Respond promptly to internal and external client inquiries, logging inquiries for data and directing them to the appropriate personnel. Provide backup coverage and support other AEAs and Admin Assistants on special assignments.

Qualifications

  • College degree preferred.
  • 2+ years of experience supporting a work group and/or manager, preferably in insurance or a related field.
  • Excellent communication and interpersonal skills, with fluency in spoken and written English.
  • Strong organizational, time management, and prioritization skills.
  • Superior technical skills, particularly in Microsoft Office applications such as Outlook, PowerPoint, Word, and Excel, including proficiency with pivot tables, formulas (e.g., Xlookup, nested formulas), and data visualization.
  • Strong problem-solving ability, customer orientation, and teamwork skills, with adaptability to cultural differences.
