We currently have a vacancy for a full time Executive Administrative Assistant, based in the Sydney office.  Under minimum supervision the EAA is expected to work independently using considerable judgment and initiative to handle executive secretarial and administrative functions on behalf of the Australian Operations Manager and the Client Service team.

 

Responsibilities - External

  • Providing Executive level administrative support to the Australian Operations Manager, Client Service Manager & Client Service Group
  • Anticipating and preparing materials needed by the senior executive for conferences, correspondence, appointments, meetings, telephone calls, etc.
  • Coordination of data and preparation of monthly and quarterly reports, strategic reports and ongoing monitoring and reporting of progress on goals and objectives;
  • Minuting quarterly management meetings and other meetings as required;
  • Event management for the Client Service Group and Sydney office staff functions;
  • Handle details of a confidential nature;
  • Schedule appointments for senior executive; arranges travel schedule and reservations.      
  • Assisting in the development of the work group's budget, business planning, and related planning functions;
  • Expense management for the Operations Manager and Client Service Group;
  • Executive assistance and liaison for visiting VP’s;
  • Relief reception on rotating roster;
  • Any other projects or assistance required for the Australian Ops Department in meeting all goals and objectives.

Qualifications - External

 

  • HSC/VCE or equivalent; Tertiary education preferred.
  • 8+ years of administrative/executive secretarial experience supporting senior management; Insurance industry experience and knowledge would be an advantage
  • Thorough knowledge of MS Word, Excel and other spreadsheet or database software, as indicated by the position; excellent keyboard skills, including typing speed and accuracy; highly refined telephone skills; excellent written and verbal communication skills; outstanding interpersonal skills; ability to provide leadership to other secretarial and clerical staff; significant ability to handle highly confidential and sensitive information and material
