Provide direct support to the tenants within Hobbs Brook real estate portfolio. Develop and maintain strong working relationships with the tenants and ensure that issues and needs are responded to and resolved by the appropriate individuals/departments in a timely fashion. Report and update all issues to Real Estate Manager.
Schedule meetings with tenants on a regular basis. Main point of contact for tenant service calls through the Building Engines system to include tenant and employee setup in the system. Act as a liaison between Hobbs Brook leasing, construction, security departments and tenants to update them on day to day issues that arise. Responsible for written and/or verbal tenant notifications and communications via emails, letters etc.
Work with the leasing team and assist with the preparation and updating of lease abstracts, and summaries. Assist with Right of First Offer notices, Letters of Credit, Security Deposits, and process billing charges in compliance with specific details in tenant lease agreements.
Act as move-in and move-out coordinator. Meet with all new tenants and provide tenant welcome packets. Conduct orientation with new tenants on building policies and procedures. Assist with the coordination of tenant events, such as annual tenant BBQ, Red Cross Blood Drives, etc.
Work with the marketing/public relation vendors on maintaining and updating of the company website, as well as social media accounts and events. Create ads for publications and investigate marketing opportunities with various publications.
Coordinate and manage all building, park and tenant signage with sign vendor, to ensure that all tenant signage is ordered and installed in conformance with lease and municipal requirements.
Implement incident reports and provide all required insurance forms and claims to insurance provider, while keeping the in house legal and security teams updated on all incidents.
Assist with other real estate/tenant-related administrative tasks as requested and available.
