  • Overview - External

    MAIN RESPONSIBILITIES

     

    1. Reads and routes incoming mail; locates and attaches appropriate file to correspondence to be answered by manager. 
    2. Composes and types correspondence and/or reports from dictation, verbal direction or from knowledge of company policy or procedures; files correspondence and other records.         
    3. Assists executive in some administrative details, usually of a confidential nature.
    4. Answers telephone and gives information to callers or routes call to appropriate person; places outgoing calls.    
    5. Schedules appointments for others and makes meeting arrangements, as required.  May arrange travel schedule and reservations.      
    6. Greets visitors, ascertains nature of business, and escorts visitors to appropriate person.      
    7. Collects, compiles, and analyzes moderately complex data and information; may prepare reports using more advanced applications of spreadsheet and/or database software.
    8. Assists with organizing events including sending out invites, arranging venues, managing hotel/dining/transport needs of attendees, assisting with preparing presentations and handout documents
    9. Attends RMEC/EAB meetings and client events as needed (including travelling to these events).

    Responsibilities - External

    SKILLS AND EXPERIENCE REQUIRED

     

    • Speaks fluent French and English. German is a real plus
    • Minimum 5 years’ experience at administrative assistant position, dealing with senior management both internally and externally
    • Very strong knowledge with PC suite (word, excel, PowerPoint) and others software if need
    • Key soft skills: detail-oriented, strong verbal / written communication and interpersonal skills, business savvy, confidential handling, flexible, autonomous, resourceful, ability to stay calm under pressure, Proactive, can do attitude, will bring a lot of energy to the role
    • Flexible for some travel (at least 15 nights a year (in slots of 3 night / per trip)
